Printing Spreadsheets: A few "tricks of the trade"

In this class we don't do much printing.  However, it is good for you to know about some of the things that you can do when you print a spreadsheet.

Page Setup Considerations

There are four basic areas that you need to check when you get a page ready for printing.

These are:

  • The page orientation
  • The addition of headers and footers on the pages
  • The use of repeating column header lines
  • Whether or not grid lines should be drawn.

We'll look at each of these.

Page Setup

All the printing options that we'll be discussing here are part of the Page Setup.

Get to the dialog box you'll need by clicking on the Files menu and choosing the "Page Setup..." command.

The dialog box that comes up has four tabs.  We'll be using three of these.

Page Orientation & Scaling

Choose the Page tab.

Most often, you want to print a page in portrait orientation.  When you have a lot of columns in your spreadsheet, you may need to switch to landscape orientation.

Headers and Footers

Choose the Headers/Footers tab.

You generally want to use a custom header and a custom footer.

Click on the Custom Header button.  (You'll do the same thing for the footer.)

Entering Header or Footer Info

The dialog box that appears has three panel into which you can type your header information.  The same box is used for footer information but you need to start it separately to use it.

The box on the left will be left aligned, the middle one will center its text, and the right box places text on the right side.

You can type into these boxes.

There are also icons that let you enter information into these fields.

Formatting icons

The formatting icons available in the header/footer dialog let you put information, such as the page number, on each page.

You can see here that there are other useful choices.  Just click on the icon you want to use and a code will be put into the header (or footer) so that a substitution can be made when your page is actually printed.

Repeating Column Header Lines

The last tab is the Sheet tab.

There are two things that we'll want to check on this dialog box.

The first choice is to put the cell address "$1:$1" into the "Rows to repeat at top" box.  What this does is to say that you want the first row of your spreadsheet to be repeated on every printed page.

Think about this.  You usually put column header in the first row of your spreadsheet.  This is how you identify the contents of the cells below.  If you have so much information that your spreadsheet will print on more than one page, then it is very useful to have this same column header identifying the contents of each page.

Grid Lines

Also, you should check whether you want grid cells.
